SEASONAL OFFERS
Clear thinking. Better decisions. Less noise.

YOU HAVE A HARD PROBLEM. LET'S MAP IT.

FlowMind Grid Lab is a small consultancy that helps teams untangle complex decisions, broken workflows, and the kind of strategic fog that makes Monday mornings feel impossible. We work with founders, ops leads, and the occasional very stressed product manager (you know who you are).

The story so far

FlowMind Grid Lab started in the spring of 2019 when Mara Voss left a senior operations role at a mid-size logistics firm in Hamburg and decided she was done fixing the same broken meeting culture over and over from the inside. She had spent six years watching smart people make slow, painful decisions not because they lacked information but because nobody had ever given them a clean way to think through what they actually needed to decide. She started taking on small consulting projects from her kitchen table, mostly for former colleagues who were now running their own teams and hitting the same walls.

The name came from a whiteboard session in late 2019 with her first real client, a product team in Amsterdam that was paralysed by a roadmap they couldn't prioritise. 'Grid' was the mapping tool they used that day. 'Flow' was what happened after. 'Lab' because it still feels like an experiment, honestly. The business grew slowly and deliberately. Mara turned down a partnership offer in 2021 because it would have meant taking on clients she didn't believe in. She brought in one associate, Tobias Kern, in early 2023 to cover the workflow side of engagements while she focuses on the decision and strategy work.

The intake conversation is half the diagnostic, honestly.
ENGAGEMENTS
We keep the menu short on purpose. Each engagement is scoped carefully before we start, and we don't upsell once we're in. Here's what we offer, what it costs, and roughly what to expect. If none of these fit exactly, the Strategic Clarity Session is usually the right place to start.

What we actually do

01

Decision architecture

We map the real decision. Not the one everyone thinks they're making. Using structured frameworks adapted from systems dynamics and cognitive science, we help teams see where the actual fork in the road is.

02

Workflow redesign

Most broken workflows aren't broken because of bad tools. They're broken because the handoffs are unclear and nobody wrote down the assumptions. We find those gaps and close them.

03

Strategic clarity sessions

A focused 90-minute working session where we take one stuck problem and work it until it moves. No slides, no decks. Just a whiteboard, a timer, and honest conversation.

How to map a decision before you make it

Most teams don't have a decision problem. They have a framing problem. The decision they're trying to make isn't the decision they actually need to make, and until someone names that, the conversation goes in circles. This is a practical guide to mapping a decision before you try to make it.

Finding the broken handoff in your workflow

When a workflow breaks, the instinct is to look at the tools, the people, or the process documentation. Usually the problem is none of those things. It's the handoff: the moment when work moves from one person or team to another. Handoffs are where assumptions live, and assumptions are where things go wrong.

Why async diagnostics work better for distributed teams

The assumption in most organisational diagnostics is that you need everyone in a room. Or at least on a call. We've been running async diagnostics since early 2023 and the data suggests that for distributed teams, async often produces better results than synchronous sessions. Here's why.

What clients say

We had been going in circles on a hiring decision for three months. After one session with Mara we had a clear framework and made the call the next week. I wish we'd done it sooner.

— Lena Hartmann, Co-founder, a Berlin-based SaaS team

Tobias spent three days in our process and found the exact handoff that was causing the delays. The fix was embarrassingly simple once someone named it.

— Rui Fonseca, Head of Operations, e-commerce company

Mara Voss

I'm Mara Voss. I spent six years in operations at a logistics company in Hamburg before I started FlowMind Grid Lab in 2019. Before that I did a stint at a small management consultancy in Zurich that taught me a lot about what not to do when working with clients. I read a lot of systems dynamics literature in my spare time, which my partner finds baffling. I have a rescue greyhound named Biscuit who attends most of my video calls uninvited. I started this business because I kept seeing the same problem: smart teams, stuck decisions, no clean way through. I'm still trying to solve that.

FAQ

Common questions

How do I know which engagement is right for my situation?

Honestly, the Strategic Clarity Session is the right starting point for most people. It's low commitment, it's fast, and it usually makes clear whether you need something bigger. If you're already pretty sure you need a full audit or sprint, book a free 20-minute intake call and we'll scope it together.

Do you work with large companies or only startups?

Both, though the work looks a bit different. With larger organisations we're usually working with a specific team or division rather than the whole company. The smallest team we've worked with was four people; the largest was a division of about 60. The problems are often surprisingly similar.

Can you work with us if we're fully remote and across time zones?

Yes. The Async Team Diagnostic was designed specifically for this. For the other engagements we work over video call and use shared documents. We've worked with teams in Europe, North America, and Southeast Asia without any real friction.
